VR GameHouse refers to the company operating under the name VR GameHouse, located at Gyroscoopweg 102, 1042 AX Amsterdam, The Netherlands.
Customer refers to the person, company, organisation, or legal entity making the booking or entering into an agreement with VR GameHouse.
Booking Holder refers to the person who makes the reservation, provides contact details, confirms the booking, pays the deposit, or communicates with VR GameHouse on behalf of a group.
Participant refers to any person taking part in a VR experience, arcade activity, event, or any other activity at VR GameHouse.
Experience refers to the virtual reality games, arcade activities, events, catering, group activities, and services offered by VR GameHouse.
Venue refers to the physical location where the Experience takes place.
Fee means the total amount paid or payable for the booking, experience, event, activity, participants, catering, drinks, or additional services.
The person making the booking is considered the main contact person and responsible party for the reservation.
The Booking Holder is responsible for ensuring that the booking is paid in full and on time.
The Booking Holder is also responsible for informing all Participants in their group about these Terms & Conditions, house rules, safety instructions, payment obligations, cancellation rules, arrival times, and participation requirements.
VR GameHouse is entitled to rely on the Booking Holder as the single point of contact for the reservation.
If Participants state that they were not informed about the rules, risks, payment obligations, or conditions, this remains the responsibility of the Booking Holder.
For business or corporate bookings, the person making the reservation is deemed authorised to act on behalf of the company or organisation, unless VR GameHouse is informed otherwise in writing before the booking is confirmed.
For corporate bookings, the company, organisation, or legal entity on whose behalf the reservation is made remains fully responsible for payment of all invoices and charges related to the booking.
This responsibility remains in force regardless of changes within the organisation, including but not limited to situations where the employee who made the booking leaves the company, changes position, is no longer employed, fails to obtain internal approval, exceeds their budget, or is otherwise unable to complete the booking process.
Internal approval procedures, budget restrictions, purchase order requirements, participant attendance levels, or administrative delays within the organisation do not affect the company's payment obligations.
These Terms & Conditions apply to all agreements, bookings, events, visits, activities, and participation in experiences at VR GameHouse.
Anyone entering the venue, with or without a reservation, is deemed to have read, understood, and accepted these Terms & Conditions.
By confirming a booking online, by email, by phone, by payment link, by deposit, or by invoice approval, the Customer explicitly agrees to these Terms & Conditions.
Walk-ins are welcome, but reservations are recommended and subject to availability.
Reservations require written confirmation and are binding once confirmed.
The time stated in the booking confirmation is the actual start time of the Experience. Participants should arrive 5–10 minutes before the scheduled time.
Late arrivals may result in shortened session times. Experiences cannot be extended or moved to a later time due to late arrival.
VR GameHouse is not obliged to reschedule missed, delayed, or partially missed bookings.
VR GameHouse may combine multiple bookings into one session. A private session is only guaranteed when explicitly booked as such.
Full payment must be made before the Experience begins, unless otherwise agreed in writing.
If invoicing is agreed, payment must be made within 14 days of the invoice date, unless another deadline is stated on the invoice.
Paying a deposit creates a financial obligation for the full invoice amount, minus the deposit already received.
The Booking Holder and/or Customer remains responsible for ensuring that the full invoice is paid.
For transactions over €3,000 excluding VAT, payment must be made by bank transfer only.
In case of post-payment, VR GameHouse reserves the right to charge administrative fees.
Failure to pay on time results in default.
Consumers owe statutory interest. Business clients owe commercial interest.
VR GameHouse may charge collection costs in accordance with Dutch regulations, including BIK 2012.
VR GameHouse may suspend future bookings, refuse new reservations, or require full prepayment if previous invoices remain unpaid.
The total booking amount is based on the number of participants confirmed at the time of booking or stated on the invoice.
Once an invoice has been issued, the number of participants stated on that invoice becomes final and cannot be reduced.
The Customer and/or Booking Holder is responsible for paying for all participants listed on the invoice, regardless of how many people actually attend.
No refunds, credits, reductions, or invoice corrections apply if fewer participants attend.
Additional participants may only be added if VR GameHouse confirms this in advance and if capacity, staffing, equipment, planning, and availability allow it.
For private and individual bookings, requests to reduce the number of participants must be submitted in writing.
For bookings with a total value of less than €600, reductions may be requested up to 72 hours before the scheduled event. For bookings with a total value of €600 or more, reductions must be requested at least 14 days before the scheduled event.
After the applicable deadline, the confirmed participant number becomes final and fully payable.
Once a booking is confirmed, refunds in money are not possible under any circumstances, unless required by applicable law.
Store credit for the full or partial amount may only be requested in writing at least 72 hours before the start time.
For bookings of €600 or more including VAT, requests for store credit must be made at least 14 days in advance.
Cancellation requests must always be made in writing. Verbal cancellation requests are not valid unless confirmed by VR GameHouse in writing.
Rescheduling is possible only in exceptional cases and is always subject to written approval and availability.
Requests must be received in writing at least 72 hours before the booking date, or 14 days in advance for bookings above €600 including VAT.
Rescheduling is not possible after a no-show.
VR GameHouse is not obliged to reschedule bookings due to illness, transport issues, late arrivals, planning conflicts, or reduced attendance.

If the Customer or Participants do not attend the booking, the full amount will be invoiced, minus any deposit already paid.
No refunds, credits, or rescheduling options will be granted after a no-show.
All activities, experiences, and use of VR equipment at VR GameHouse are undertaken entirely at the Participant’s own risk and own responsibility.
VR GameHouse does not accept liability for injury, discomfort, panic, dizziness, nausea, fear, disorientation, motion sickness, emotional reactions, or other effects related to participation, unless liability cannot legally be excluded.
Participants acknowledge that VR experiences may involve inherent risks, including collisions, slips, falls, dizziness, nausea, disorientation, motion sickness, panic, anxiety, claustrophobia, emotional reactions, aggravation of pre-existing medical conditions, bruises, muscle strain, or physical discomfort.
Any injury, accident, damage, complaint, loss, medical issue, safety concern, or other incident occurring during a visit to VR GameHouse must be reported to a member of staff immediately and before the Participant leaves the venue.
Failure to report an incident before leaving the venue may limit VR GameHouse's ability to investigate the matter properly and may affect any subsequent claim.
Participants are fully responsible for assessing whether they are physically, mentally, and medically fit to participate.
VR GameHouse employees are not medical professionals and cannot assess whether a Participant is fit to participate.
Participation is not recommended for individuals who suffer from epilepsy, seizures, photosensitivity, pregnancy, severe motion sickness, vertigo, serious heart conditions, injuries, panic attacks, severe anxiety, claustrophobia, or any medical condition that may be worsened by virtual reality experiences.
All Participants must immediately follow all instructions, warnings, and directions given by VR GameHouse staff.
Failure to follow instructions may result in refusal of participation, removal from the experience or venue, or termination of the booking without refund.
Examples of prohibited behaviour include running when instructed not to, throwing controllers, pushing other participants, removing equipment without permission, ignoring boundaries, damaging equipment, or behaving aggressively.
Participants must be at least 7 years old.
Anyone under 18 must be accompanied by an adult.
Parents, guardians, or supervising adults remain responsible for minors participating in experiences.
VR GameHouse may refuse participation to a minor if staff determine that the activity is not suitable for that child.
Possession or use of alcohol, soft drugs, hard drugs, or intoxicating substances during participation in VR activities is strictly prohibited.
VR GameHouse may refuse access or remove Participants without refund if staff suspect intoxication, drug use, unsafe behaviour, aggression, harassment, or any behaviour that endangers staff, guests, equipment, or the venue.
Bringing outside food, drinks, snacks, alcohol, or external catering into the venue is not permitted unless prior written permission has been received from VR GameHouse.
Birthday cake may only be brought when this has been allowed by VR GameHouse.
Unauthorized outside food, drinks, or catering do not entitle Customers or Participants to any refund, credit, or compensation.
VR GameHouse reserves the right to refuse admission or remove Participants without refund if they fail to follow staff instructions, behave aggressively, endanger themselves or others, damage equipment, violate venue policies, are suspected to be under the influence, or are deemed unfit to participate.
Virtual reality technology is complex and may occasionally experience technical difficulties.
VR GameHouse reserves the right to replace games or experiences, pause activities, adjust session flow, change room allocation, or temporarily suspend activities where reasonably necessary.
Technical interruptions do not automatically entitle Customers or Participants to refunds, credits, cancellations, or compensation.
VR GameHouse reserves the right to modify game selection, room allocation, activity duration, event flow, staffing allocation, catering arrangements, or experience format where reasonably necessary for safety, quality, planning, or operational reasons.
Such modifications do not entitle Customers or Participants to refunds, compensation, credits, or cancellation.
VR GameHouse shall not be liable for cancellations, interruptions, delays, or inability to provide services resulting from circumstances beyond its reasonable control.
This includes power failures, internet outages, technical malfunctions, government measures, strikes, extreme weather, public emergencies, pandemics, safety issues, illness of staff, supplier issues, or other force majeure events.
Participants are advised not to bring valuable items into the venue.
Personal belongings remain entirely at the owner’s risk.
VR GameHouse is not responsible for lost, stolen, damaged, or forgotten personal belongings.
Left items are kept for two months before disposal.
Participation and entry are at the Customer’s and Participant’s own risk.
VR GameHouse is not liable for personal injury, material damage, theft, loss, emotional distress, business interruption, reputational damage, loss of profit, loss of opportunity, indirect damage, or consequential damage, unless caused by intent or gross negligence as required by applicable law.
If VR GameHouse is held liable, compensation will be limited to the amount covered by its liability insurance or, where legally permitted, the amount paid for the relevant booking, whichever is lower.
Customers, Booking Holders, and Participants are jointly liable for any damage caused to VR GameHouse property, equipment, staff, other guests, or third parties.
Damage resulting from intentional misconduct, reckless behaviour, horseplay, misuse of equipment, failure to follow instructions, or unauthorized use of equipment may result in full repair or replacement costs being charged.
The Customer indemnifies VR GameHouse against all third-party claims resulting from actions or omissions of the Customer, Booking Holder, or Participants.
Identification may be requested.
The venue uses visible and hidden security cameras for safety, security, and legal purposes.
Camera footage is stored securely and may be used where necessary for safety, incident review, legal obligations, insurance claims, disputes, or investigations.
VR GameHouse processes personal data in accordance with applicable privacy legislation, including the General Data Protection Regulation.
Personal data may be used for bookings, customer communication, operational planning, payment processing, legal obligations, and safety purposes.

Photographs and video recordings may occasionally be made during events or activities for promotional, internal, or social media purposes.
Participants who do not wish to appear in promotional material must notify staff before the activity begins.
Participants may not commercially record, livestream, reproduce, or publish VR GameHouse experiences without prior written permission.
Participants must wear appropriate clothing and footwear suitable for light physical activity.
VR GameHouse reserves the right to refuse participation where clothing, footwear, accessories, loose items, or personal belongings create a safety risk.
Prices are subject to possible typographical errors, technical errors, or obvious mistakes.
No rights can be derived from such errors.
VR GameHouse reserves the right to correct obvious pricing errors, even after a quotation or booking request has been sent.
Any claim against VR GameHouse must be submitted in writing within 12 months after the event giving rise to the claim, to the extent permitted by applicable law.
Claims must include a clear description of the incident, date, booking details, involved persons, and supporting evidence where applicable.
VR GameHouse reserves the right to modify these Terms & Conditions at any time.
The version applicable at the time of booking applies to the relevant booking, unless otherwise required by law.
The Customer is responsible for ensuring that the event location is suitable for the activities booked, including adequate space, power supply, internet connection where required, lighting, ventilation, loading access, setup space, and a safe working environment.
The Customer shall ensure that VR GameHouse staff have timely and unrestricted access to the venue for loading, unloading, setup, testing, operation, and breakdown of equipment.
Once equipment has been delivered to the event location, the Customer shall take reasonable measures to ensure its safety and security.
VR GameHouse shall not be responsible for interruptions, delays, reduced functionality, or cancellation of activities resulting from inadequate electrical supply, internet connectivity issues, venue infrastructure failures, power outages, unstable networks, or other technical limitations of the event location.
The Customer is solely responsible for obtaining any permissions, permits, approvals, licences, venue authorisations, landlord approvals, or other permissions required for the event.
Unless otherwise agreed in writing, any parking fees, tolls, permits, venue access charges, security clearances, loading fees, transportation restrictions, ferry crossings, accommodation costs, or other logistical expenses shall be borne by the Customer.
For outdoor or partially outdoor events, VR GameHouse reserves the right to suspend, modify, relocate, postpone, or cancel activities where weather conditions may affect safety, equipment, staff, participants, or operational quality.
VR GameHouse reserves the right to immediately suspend or terminate operations if staff reasonably determine that the environment is unsafe, hostile, intoxicated, overcrowded, non-compliant with health and safety requirements, or otherwise unsuitable for operation.
Unless expressly agreed otherwise in writing, VR GameHouse equipment may not be left unattended overnight at the event location.
VR GameHouse shall not be liable for losses arising from venue restrictions, venue conditions, third-party suppliers, venue staff actions, technical infrastructure failures, weather conditions, access limitations, customer delays, security failures, or circumstances outside the reasonable control of VR GameHouse.
All agreements, bookings, and disputes are governed by Dutch law.
Disputes shall be handled by the competent court in Amsterdam, unless otherwise required by law.
