1. Definitions

1. “VR GameHouse” refers to the company operating under the name VR GameHouse, located at Gyroscoopweg 102, 1042 AX Amsterdam (Westpoort), The Netherlands.
2. “Customer” refers to any individual or legal entity who enters into an agreement with VR GameHouse to use its facilities.
3. “Participant” refers to any person taking part in a VR experience at VR GameHouse.
4. “Experience” refers to the virtual reality games and activities hosted at the venue.
5. “Venue” refers to the physical space where the Experience takes place.
6. “Fee” means the total amount paid by the customer for themselves and any accompanying participants to take part in the Experience.

2. Applicability
7. These Terms & Conditions apply to all agreements with VR GameHouse, including all participation in experiences.
8. Anyone entering the venue, with or without a reservation, is deemed to have read and accepted these Terms.
3. Group Size & Minimum Charges
9. For group bookings, a minimum number of participants may apply. If fewer participants attend, the Customer will still be charged for the minimum number. The exact details are provided at the time of booking.
4. Payment Terms
10. Full payment must be made before the Experience begins.
11. Reservations require written confirmation and are binding. Unless agreed otherwise, payment is due upon booking.
12. If invoicing is agreed, payment must be made within 14 days of the invoice date. This is a strict deadline.
13. In case of post-payment, VR GameHouse reserves the right to charge administrative fees.
5. Late Payment
14. Failure to pay on time will result in default. Consumers owe the statutory interest; business clients owe the commercial interest.
15. VR GameHouse may charge collection costs in accordance with Dutch regulations (BIK 2012).
6. Reservations
16. Walk-ins are welcome, but reservations are recommended.
17. VR GameHouse may combine multiple bookings into one session. A private session is only guaranteed when booked as such.
18. The time stated in the booking confirmation is the actual start time of the Experience. Participants should arrive 5–10 minutes early.
19. Late arrivals may not be able to join their reserved time slot.
20. VR GameHouse is not obliged to reschedule missed bookings.
7. Cancellations
21. The applicable cancellation and change policy is stated in your booking details. By confirming or paying a deposit, you agree to these terms.
8. Drugs & Alcohol
22. Possession or use of alcohol, soft drugs, or hard drugs is strictly prohibited. Any violation will result in immediate removal and permanent denial of access.
23. If staff suspect possession or use of prohibited substances, or detect suspicious behavior, they may refuse access without refund.
9. Lost & Personal Items
24. Found items should be handed to staff.
25. VR GameHouse is not responsible for lost, stolen, or forgotten items. Left items are kept for two months before disposal.
10. Safety & Surveillance
26. Identification may be requested.
27. All instructions from staff must be followed at all times.
28. The Venue uses visible and hidden security cameras. Footage is stored securely and may be used only for safety or legal reasons. By entering, you consent to this.
11. Liability of VR GameHouse
29. Participation and entry are at your own risk.
30. VR GameHouse is not liable for any personal or material damage, including theft.
31. If VR GameHouse is held liable, the compensation will be limited to the amount covered by its liability insurance.
12. Liability of Customers and Participants
32. Customers and Participants are jointly liable for any damage caused to VR GameHouse property, staff, or third parties.
33. The following costs apply in case of loss, theft, or damage of VR equipment:

• Markers: €250
• VR Headset: €1,000
• PC/Backpack Computer: €3,000
• Headphones: €125
• VR Gun: €500
• HTC Controller: €200
• Index Controller: €200

1. The Customer indemnifies VR GameHouse against all third-party claims resulting from actions of the Customer or their Participants.

13. Age Requirements
35. Participants must be at least 7 years old. Anyone under 18 must be accompanied by an adult.
14. Amendments
36. VR GameHouse reserves the right to modify these Terms at any time.
15. Governing Law & Jurisdiction
37. All agreements are governed by Dutch law.
38. Disputes shall be handled by the competent court in Amsterdam, unless otherwise required by law.

Booking Terms & Conditions — VR GameHouseBy confirming your booking (online, by email, or by phone), you agree to the following terms and conditions:

1. Refunds
2. Once a booking is confirmed, refunds in money are not possible under any circumstances.
3. Store Credit / Rebooking

• Store credit for the full or partial amount is available only if requested in writing at least 72 hours before the start time.
• For bookings of €600 or more (incl. VAT), the request must be made at least 14 days in advance.

1. Rescheduling

• Rescheduling is possible only in exceptional cases, subject to written approval and availability.
• Requests must be received in writing at least 72 hours before the booking date, or 14 days for bookings above €600 (incl. VAT).
• Contact us via booking@vrgamehouse.nl or 020-2200168.

1. No-Show
2. If you do not attend your booking, the full amount will be invoiced (minus any deposit).
3. Rescheduling is not possible afterward.
4. Late Arrival
5. Please note that any delay will shorten your session time. Sessions cannot be extended or moved to a later time.
6. Deposit and Payment Obligation
7. Paying only a deposit still creates a financial obligation for the full invoice amount (minus the deposit).
8. Participant Numbers

• The total price is based on the number of participants confirmed at booking.
• If fewer people attend, the full amount still applies. Refunds or credits do not apply.

1. Changes to Participant Numbers (Bookings over €600 incl. VAT)
2. a. Decreasing participants: Adjustments can be made up to 14 days before the event. After this, the minimum number on the invoice is final.
3. b. Increasing participants: Adding extra participants may be possible depending on availability and staff scheduling. Only upward adjustments are accepted.
4. On-Location Events
5. For events over €3,000 (excl. VAT), additional terms apply. Please refer to the On-Location Agreement.
6. Large Payments
7. For transactions over €3,000 (excl. VAT), payment must be made by bank transfer only.
8. Pricing Errors
9. Prices are subject to possible typographical errors. No rights can be derived from such errors.
10. Applicable Law
11. All bookings are governed by Dutch law.
12. Government (Corona) Measures

• If new government measures prevent your booking from taking place, it can be cancelled free of charge.
• Bookings not affected by such measures cannot be cancelled.
• In special cases, we may offer to move your booking to a new date/time at our discretion.

Mocht u online of per e-mail / telefonisch een boeking bij ons maken houdt u er dan rekening mee dat u expliciet akkoord gaat met de volgende voorwaarden:

1. Nadat de boeking is voltooid, is restitutie in geld niet mogelijk.

2. Winkelkrediet voor het totale bedrag of aanbetaalde bedrag is enkel mogelijk als dit tenminste 72 uur vóór de start-datum schriftelijk is ontvangen. Voor boekingen boven 600 euro incl btw is het minimaal 2 weken vóór de start-datum​.  

3. Als u een boeking wilt verplaatsen als gevolg van omstandigheden, kunt u ons bellen op 020-2200168 en mailen naar booking@vrgamehouse.nl Dit is in uitzonderlijke gevallen mogelijk aan de hand van beschikbaarheid (wij zullen het per geval beoordelen) en enkel als dit minimaal 72 uur voor de startdatum van de boeking schriftelijk is doorgegeven. Boekingen met een orderwaarde boven 600 euro incl btw geldt minimaal 2 weken van te voren.

4. Bij een no-show wordt het gehele bedrag gefactureerd (minus de eventuele aanbetaling). U kunt deze boeking niet (achteraf) naar een andere tijd / datum verschuiven.

5. Mocht u verlaat zijn door omstandigheden, houdt er rekening mee dat de tijd van uw eigen sessie wordt ingehouden. U kunt uw boeking ook niet verplaatsen naar een later tijdstip.  

6. Als u de boeking voltooid en enkel een aanbetaling doet, houdt er dan rekening mee dat u een financiële verplichting aangaat voor het totale bedrag op de factuur (minus de ontvangen aanbetaling). 

7. Mochten er aantal deelnemers door omstandigheden niet kunnen participeren, geldt het totaalbedrag dat op de factuur staat. Bijvoorbeeld: U heeft voor 8 personen geboekt en uiteindelijk kunnen er maar 6 mensen participeren​ (door omstandigheden) betaalt u alsnog voor 8 personen waarvoor u initieel geboekt heeft. 

8a. Deelnemers aanpassen op de factuur. Voor boekingen met een orderwaarde MINDER dan € 600,00 (incl btw) kunnen aanpassingen aan de factuur 72 uur (3 dagen) vóór de startdatum worden gedaan. Voor boekingen BOVEN € 600,00 (incl btw) kan de factuur worden aangepast tot twee weken (14 dagen) vóór de startdatum van de boeking. Hierna wordt het schema gemaakt en garandeert u specifiek het minimale aantal deelnemers zoals vermeld op de factuur. We zullen de deelnemers NIET meer aanpassen onder het afgesproken minimum. Om nog explicieter te zijn; als de factuur 50 mensen vermeldt en uiteindelijk slechts 40 mensen kunnen komen vanwege omstandigheden en de startdatum minder dan 14 dagen is, moet u de 50 personen betalen volgens uw factuur. Wij organiseren elke maand meer dan 100 kleinere en grotere evenementen en we willen niet elke factuur aanpassen in het geval dat sommige mensen niet kunnen deelnemen "last minute". U heeft dus twee weken voor de startdatum om je RSVP te voltooien.

8b.  Als u besluit MEER deelnemers mee te nemen dan het minimale aantal deelnemers dat op de factuur is vermeld. Enkel als er voldoende ruimte, gepland personeel en beschikbaarheid is om de kwaliteit van het evenement te waarborgen, kunnen we dit bespreken om de factuur aan te passen (enkel omhoog).

9. Op locatie evenementen boven 3000 euro ex btw gelden er aanvullende voorwaarden. Wij verwijzen je graag naar de "op locatie voorwaarden document".

10. Voor eenmalige transactie van 3000 euro of meer (ex btw) is bankoverschrijving enkel mogelijk.

11. Prijzen zijn onder voorbehoud van druk en zetfouten en kunnen geen rechten aan worden ontleend. 

12. Nederlands recht is van toepassing op bovenstaande voorwaarden.

13. Corona Maatregelen:
Indien een reservering door nieuwe overheidsmaatregelen niet door kan gaan, kan de reservering kosteloos worden geannuleerd.
Reserveringen die bevestigd zijn en die niet worden beïnvloed door overheidsmaatregelen kunnen niet geannuleerd worden.
In bijzondere gevallen kunnen wij de reservering verplaatsen naar een nieuwe datum/tijdstip (we zullen het per geval beoordelen).
