VR GAMEHOUSE

Terms &
Conditions

Everything you need to know before booking or visiting VR GameHouse. By making a booking, entering our venue, or participating in an experience, you agree to the terms outlined below.

1. Definitions

VR GameHouse refers to the company operating under the name VR GameHouse, located at Gyroscoopweg 102, 1042 AX Amsterdam, The Netherlands.

Customer refers to any individual or legal entity entering into an agreement with VR GameHouse.

Participant refers to any person taking part in a VR experience or activity at VR GameHouse.

Experience refers to the virtual reality games, activities, events, and services offered by VR GameHouse.

Venue refers to the physical location where the experience takes place.

Fee means the total amount paid or payable for the booking, experience, event, or activity.

2. Applicability

These Terms & Conditions apply to all agreements, bookings, events, visits, activities, and participation in experiences at VR GameHouse.

Anyone entering the venue, with or without a reservation, is deemed to have read, understood, and accepted these Terms & Conditions.

By confirming a booking online, by email, by phone, or by paying a deposit, the Customer explicitly agrees to these Terms & Conditions.

3. Reservations & Arrival

Walk-ins are welcome, but reservations are recommended and subject to availability.

Reservations require written confirmation and are binding once confirmed.

The time stated in the booking confirmation is the actual start time of the experience. Participants should arrive 5–10 minutes before the scheduled time.

Late arrivals may result in a shortened session. Sessions cannot be extended or moved to a later time due to late arrival.

VR GameHouse is not obliged to reschedule missed or delayed bookings.

VR GameHouse may combine multiple bookings into one session. A private session is only guaranteed when explicitly booked as such.

4. Payment Terms

Full payment must be made before the experience begins, unless otherwise agreed in writing.

If invoicing is agreed, payment must be made within 14 days of the invoice date. This is a strict payment deadline.

Paying only a deposit still creates a financial obligation for the full invoice amount, minus the deposit already received.

For transactions over €3,000 excluding VAT, payment must be made by bank transfer only.

In case of post-payment, VR GameHouse reserves the right to charge administrative fees.

5. Late Payment

Failure to pay on time results in default.

Consumers owe statutory interest. Business clients owe commercial interest.

VR GameHouse may charge collection costs in accordance with Dutch regulations, including BIK 2012.

6. Participant Numbers & Invoice Adjustments

The total booking amount is based on the number of participants confirmed at the time of booking or stated on the invoice.

If fewer participants attend than originally confirmed, the full amount stated on the invoice remains payable.

No refunds, credits, or reductions apply for absent participants.

For bookings under €600 including VAT, participant reductions may be requested up to 72 hours before the start time.

For bookings of €600 or more including VAT, participant reductions may be requested up to 14 days before the start time.

After these deadlines, the minimum number stated on the invoice becomes final. Participant numbers cannot be reduced, and the Customer remains financially responsible for the confirmed minimum.

Additional participants may only be added subject to venue capacity, staffing, availability, and operational feasibility. Only upward invoice adjustments may be accepted after the applicable deadline.

This policy exists because VR GameHouse plans staff, capacity, equipment, and event preparation based on the confirmed participant number.

7. Cancellations, Refunds & Store Credit

Once a booking is confirmed, refunds in money are not possible under any circumstances.

Store credit for the full or partial amount may only be requested in writing at least 72 hours before the start time.

For bookings of €600 or more including VAT, requests for store credit must be made at least 14 days in advance.

The applicable cancellation and change policy is stated in the booking details. By confirming a booking or paying a deposit, the Customer agrees to these terms.

8. Rescheduling

Rescheduling is possible only in exceptional cases and is always subject to written approval and availability.

Requests must be received in writing at least 72 hours before the booking date, or 14 days in advance for bookings above €600 including VAT.

Rescheduling is not possible after a no-show.

To request a change, contact VR GameHouse via booking@vrgamehouse.nl or 020-2200168.

9. No-Show Policy

If the Customer or Participants do not attend the booking, the full amount will be invoiced, minus any deposit already paid.

No refunds, credits, or rescheduling options will be granted after a no-show.

10. Participation at Own Risk

All activities, experiences, and use of VR equipment at VR GameHouse are undertaken entirely at the Participant’s own risk.

Any violation may result in immediate removal and permanent denial of access.

15. Outside Food & Beverages

For private events where external catering has been explicitly approved in writing, additional conditions or fees may apply.

Unauthorized outside food, drinks, or catering do not entitle Customers or Participants to any refund, credit, or compensation.

16. Right to Refuse Entry

  • Fail to follow staff instructions
  • Behave aggressively, abusively, or inappropriately
  • Endanger themselves, other guests, or employees
  • Damage or misuse equipment
  • Violate venue policies
  • Are suspected to be under the influence of alcohol or drugs

17. Technical Issues & Interruptions

Virtual reality technology is complex and may occasionally experience technical difficulties.

VR GameHouse reserves the right to replace games or experiences, pause activities, adjust session flow, or temporarily suspend activities where reasonably necessary.

Technical interruptions do not automatically entitle Customers or Participants to refunds, credits, or compensation.

18. Force Majeure

VR GameHouse shall not be liable for cancellations, interruptions, delays, or inability to provide services resulting from circumstances beyond its reasonable control.

This includes but is not limited to power failures, internet outages, technical malfunctions, government measures, strikes, extreme weather, public emergencies, pandemics, safety issues, or other force majeure events.

In such circumstances, VR GameHouse may offer rescheduling at its sole discretion.

19. Lost & Personal Items

Found items should be handed to staff.

VR GameHouse is not responsible for lost, stolen, damaged, or forgotten personal belongings.

VR GameHouse is not liable for personal injury, material damage, theft, loss, or other damage, unless caused by intent or gross negligence as required by applicable law.

If VR GameHouse is held liable, compensation will be limited to the amount covered by its liability insurance or, where legally permitted, the amount paid for the relevant booking.

21. Liability of Customers & Participants

Customers and Participants are jointly liable for any damage caused to VR GameHouse property, equipment, staff, other guests, or third parties.

Damage resulting from intentional misconduct, reckless behaviour, horseplay, misuse of equipment, failure to follow instructions, or unauthorized use of equipment may result in full replacement costs being charged.
